How to improve your business's booking confirmation rate
Proven strategies to reduce no-shows and raise the booking confirmation rate in leisure and service businesses. With actionable tactics.
You take the booking, confirm it with the customer, block out the slot in the calendar… and then the day comes and nobody turns up. Or only half of those who booked show up. If you run a soft play centre, a party venue or any business with limited-capacity bookings, no-shows are quite literally money you’re losing.
In this article we explain why they happen, how to measure them and which specific strategies work to increase your confirmation rate.
First: understand where you stand now
Before applying any tactic, you need to know what your current no-show rate is. The formula is simple:
No-show rate = (Bookings that didn’t show up / Total confirmed bookings) × 100
A no-show rate of 10-15% is typical in children’s leisure businesses. Above 20%, there’s a serious problem to solve. Below 5%, you’re doing very well.
If you don’t have exact figures (because you keep records on paper or in your head), the first step is to put in place some kind of system that lets you measure it.
Why customers don’t show up
No-shows have well-known causes:
They forgot about the booking: Especially with bookings made a long way in advance (2-3 weeks). The customer booked full of enthusiasm, but other things got in the way in the meantime.
Something came up: A genuine reason, not a malicious one. Their child fell ill, or another commitment came up. But if cancelling is a hassle (they have to call or send an email), many simply don’t let you know.
The booking didn’t “cost” them anything: If there’s no financial or social commitment, it’s easier not to show up. The psychological brake of losing something is far more powerful than that of not gaining it.
Uncertainty about the confirmation: Sometimes the customer isn’t sure whether the booking was actually confirmed. If the process was confusing, they may have “not been sure” and then decided not to go.
Strategy 1: Staggered automatic reminders
The most effective method, and the easiest to put in place. It involves sending automatic reminders at key moments before the event:
7 days before: A gentle reminder with the booking details. “Just a reminder that you’re booked in for Saturday X at Y. If you need to cancel or change, message us.”
48 hours before: Active confirmation. Instead of just reminding them, you ask for a reply: “Are you still going ahead with your booking on Saturday? Reply YES to confirm or NO if you need to cancel.” This forces the customer to interact and considerably reduces no-shows.
2 hours before: A final reminder with practical information (address, parking, what to bring).

In businesses that use staggered reminders, we see 40-60% fewer no-shows compared with sending no reminders at all.
Strategy 2: Active (not passive) confirmation
There’s an important difference between informing and confirming. A reminder that simply says “you have a booking on Saturday” doesn’t require the customer to do anything. A message that says “are you still coming? Confirm by replying YES” does.
Active confirmation has two advantages:
- A customer who isn’t going to come cancels there and then, freeing up the slot for someone else
- A customer who is coming “commits” again, reinforcing their intention
Putting it into practice:
- On WhatsApp: quick-reply buttons (Yes / No, I need to change)
- By email: a “Confirm attendance” or “Cancel” link
- By SMS: “Reply YES to confirm or NO to cancel”
Strategy 3: A deposit
This is the most effective strategy of all, although it’s also the one customers push back on most. It involves charging an amount when the booking is made (10-30% of the total), which is then deducted from the final price.
Why it works: A loss hurts more than an equivalent gain. A customer who has paid a €20 deposit has a real psychological brake on not turning up. One who booked for free has none.
Recommended approach:
- A reasonable deposit: between 20% and 30% of the total price
- A clear cancellation policy: “If you cancel more than 48 hours in advance, we refund the deposit in full. If you cancel less than 48 hours in advance, the deposit is non-refundable.”
- An easy payment channel: Bizum (Spain’s instant mobile payment service), Stripe, Redsys (a Spanish card payment gateway). The easier it is to pay, the more completed bookings you’ll get.
In party venues where we’ve introduced a deposit, the no-show rate drops below 5% in every case.
Strategy 4: Make cancelling simple
It sounds contradictory: making it easier to cancel in order to reduce no-shows. But here’s how it works:
If cancelling is easy (one click, a WhatsApp message), most customers who can’t make it will cancel in advance. If cancelling is difficult (they have to call, look up the number, wait for someone to pick up), many would rather just not turn up on the day.
A no-show is worse than a cancellation. A cancellation gives you time to fill the slot. A no-show doesn’t.
Put a simple cancellation process in place:
- Reply to the WhatsApp confirmation with “I can’t make it”
- A direct link in the confirmation email
- A WhatsApp number they can simply message
Strategy 5: An active waiting list
If you have slots in high demand (Saturday afternoons, bank holidays), an active waiting list can turn every cancellation into an opportunity:
- The customer cancels
- The system automatically notifies the first person on the waiting list
- If they confirm within X hours, the place is theirs. If not, it goes to the next person.
This doesn’t reduce no-shows directly, but it does eliminate the empty slots left by cancellations. The end result (days at full capacity) is the same.
How much can you improve?
This is a rough guide to the improvement you can expect depending on the strategies you put in place:

How to measure your confirmation rate (so you know if you’re improving)
You can’t improve what you don’t measure. Before applying any strategy, work out your starting point with a simple formula:
Confirmation rate = (bookings that show up ÷ total bookings) × 100
If you had 100 bookings in a month and 78 showed up, your rate is 78% (and your no-show rate is 22%). Write that number down and review it every month as you introduce reminders, active confirmation or a deposit.
Three tips to make the measurement useful:
- Break it down by slot and day. No-shows are often concentrated on Saturday afternoons or in evening slots. Knowing where the problem lies tells you where to introduce a deposit first.
- Measure timely cancellations too. An increase in early cancellations isn’t bad news: it means you’ve made it easier for people to let you know, and you can fill those slots.
- Compare before and after each change. Introduce one strategy at a time and leave it for 3-4 weeks. That way you’ll know which lever really works for your business.
The role of automation
The biggest obstacle to putting all these strategies in place is time. Sending manual reminders, managing waiting lists, processing cancellations… if you do it by hand, it ends up creating more work than it saves.
