Automatic access control: how it works and why your business needs it

Automatic access control opens and locks your premises with no staff on site. How it works, which technologies make it possible and whether it suits you.

Imagine you run a soft play centre and you’ve hired out the venue for a birthday party on a Sunday at 10:00. You could be at home with your family while the birthday child’s family comes in, has a great time and leaves your business without anyone having to go and open the door in person.

That’s automatic access control, and it’s no longer science fiction or something reserved for big companies. More and more leisure businesses, gyms, coworking spaces and event venues in Spain are putting it in place, and the results speak for themselves.

What is automatic access control?

Automatic access control is a system that manages who can enter a building and when, without anyone needing to open the door in person. Instead of a physical key or an employee on reception, access is controlled using digital credentials: a PIN code, a QR code, a mobile app or a WhatsApp message.

What matters isn’t just the smart lock itself, but how it integrates with the rest of your business processes. A well-implemented system works like this:

  1. The customer books (via WhatsApp, the website or by phone)
  2. The system automatically generates a unique access credential with limited validity
  3. That credential is sent to the customer via WhatsApp or email before the event
  4. On the day of the event, the customer uses that credential to open the door
  5. The access is logged: time in, time out, the customer’s identity

No human intervention at any of those steps.

The technologies behind access control

There are several technologies that make automatic access control possible, each with its own advantages:

Smart locks with a PIN keypad

The simplest and cheapest option. An electronic lock with a keypad is installed on the entrance door and unique PIN codes are generated for each booking. The code is time-limited: it only works during the booking period.

Advantages: low installation cost, easy for any customer to use, no smartphone dependency. Limitations: the customer has to remember or save the code.

QR code readers

The system generates a unique QR code per booking. The customer receives it on their phone (via WhatsApp or email) and scans it at the door reader to get in.

Advantages: impossible to forget (it’s on the phone), hard to share by accident, precise logging. Limitations: the customer needs to have their phone to hand when they arrive.

NFC and virtual cards

Similar to QR but using the phone’s NFC technology. The customer holds their phone near a reader and the door opens. Smoother than QR, but it requires the customer to have NFC switched on.

WhatsApp integration

The most advanced systems, such as Agendio, let the customer open the door directly from a WhatsApp message. On the day of the event, the customer receives a message with a button or link that, when tapped, sends a signal to the access control system. No extra apps, no codes to remember.

What types of business is it right for?

Automatic access control is a particularly good fit for businesses with these characteristics:

Businesses with bookings by time slot: soft play centres, event venues, photography studios, rehearsal rooms, coworking spaces. These are businesses where access has a clear, defined schedule, which makes a time-limited credential a perfect fit.

Businesses with long or irregular opening hours: if you have bookings first thing at the weekend or late in the evening, the cost of having staff on site for every arrival can be enormous. Automatic control eliminates it.

Businesses with multiple spaces or locations: if you manage several rooms or sites, coordinating staff for every opening becomes a logistical headache. With automatic control, each space runs independently.

Soft play centres and party venues: this sector is one of those that benefit most. Bookings are mostly at weekends, access has a very clearly defined time slot and the customer already knows the details of their booking. Everything is ready to be automated.

The concrete benefits for your business

Lower staff costs

The most obvious saving is not needing staff on site for every opening. In businesses where there’s a two-hour booking on a Saturday morning, automatic control can save you the cost of sending an employee or going yourself.

24/7 operation with no staff

Is there demand for bookings at 7:00 in the morning or at 22:00? With automatic access control, you can accept them without being limited by staff hours.

A better customer experience

The customer receives their access credentials in advance and arrives knowing exactly what to do. No waiting at the door, no relying on someone turning up on time. It’s a smoother, more professional experience.

Complete security and traceability

Every entry is logged with a timestamp and the customer’s identity. You know exactly who came in and when. If there’s ever an incident at your premises, you have a complete record.

Scalability at no marginal cost

Once the system is installed, adding more bookings doesn’t mean more staff costs. You can double the number of bookings without changing anything in your access infrastructure.

Things to consider before putting it in place

Automatic access control isn’t perfect for every situation. There are a few things to consider:

Initial installation cost: depending on the technology you choose, the cost of installing smart locks and the associated hardware can range from a few hundred to several thousand euros. It’s an investment you need to weigh up against your business volume.

Technical maintenance: electronic systems can fail. It’s important to always have a contingency plan (an employee on call by phone, an emergency lock with a physical key) for exceptional cases.

Type of clientele: in businesses where the customers are always the same and have a high level of trust with the owner, the value of automatic control may be lower. In businesses with a high turnover of new customers, the value is greater.

Safety regulations: some sectors or types of premises have specific requirements for on-site supervision. It’s important to check that automatic access control is compatible with the regulations that apply to your business.

How to integrate access control with your booking system

You get the most value from automatic access control when it’s integrated with your booking system. If the two systems don’t talk to each other, you have to manually manage which credential belongs to which booking, which adds work and room for error.

A proper integration works like this:

  1. The booking is confirmed (via WhatsApp, the website or by phone)
  2. The system automatically generates the access credentials for that specific booking (with the correct time slot)
  3. The credentials are sent to the customer via WhatsApp or email with no human intervention
  4. On the day of the event, the customer uses those credentials to get in
  5. When the booking ends, the credentials expire automatically

This complete flow, from booking to access, is exactly what Agendio implements. It’s not two disconnected systems that have to be coordinated by hand: it’s a single, automated process.

Conclusion: full automation starts at the door

If you’ve already automated your WhatsApp bookings, or you’re thinking about it, automatic access control is the natural step that completes the circle. With it, the whole process — from the moment the customer books until they come in and leave your premises — can happen without you stepping in at any point.

For children’s leisure businesses, event venues and spaces hired by the hour, this isn’t a luxury: it’s a real competitive advantage and a way to win back time you currently spend on operational tasks.
