The best booking management software for gyms and sports centres

A comparison of the best booking management systems for gyms and sports centres in Spain. Which to choose depending on the size of your business.

If you run a gym, a padel centre or a yoga studio, managing bookings can become a real headache. Full classes, last-minute dropouts, a waiting list to manage by hand, payments that don’t add up… The right software can eliminate 80% of that work.

In this article we look at what a sports centre really needs from booking software, the types of solution available and when it makes sense to use a WhatsApp-based system like Agendio.

What does a gym need from booking software?

Not all sports centres are the same, but most need to cover the same basic processes:

Class or court bookings: Members should be able to book in advance, see availability in real time and cancel if their plans change.

Capacity control: Especially in group classes, it’s essential to know how many places there are and how many are taken, and to manage automatic waiting lists.

Communication with members: Booking confirmations, reminders 24 hours before, notices when the centre cancels a session.

Access control: Checking that whoever comes in has a valid booking and is up to date with payments. In many centres this is still done manually.

Payment management: Monthly fees, session packs, pay-as-you-go classes.

Types of booking software for sports centres

1. All-in-one management software

Platforms such as Mindbody, Glofox or Perfectgym offer a complete solution: bookings, payments, member management, instructor payroll, reports. They’re powerful but also complex and expensive (from €100-300/month for medium-sized centres).

Who it’s for: Large gyms (500+ members), chains of centres, high-volume yoga or Pilates studios.

Main drawback: A steep learning curve and a high price for small businesses.

2. Dedicated booking apps

Tools such as Bookitit, Calendly or SimplyBook are designed to manage appointments and bookings, but without the advanced features for member management or recurring payments.

Who it’s for: Personal trainers, small centres with just a few classes a day.

Main drawback: They don’t cover access control or member management.

3. WhatsApp bookings with a chatbot

A WhatsApp booking chatbot is ideal for centres that:

  • Have customers who prefer to communicate via WhatsApp (most of them, in Spain)
  • Want to cut down on phone calls and manual messages
  • Need automatic confirmations and reminders
  • Are looking for a solution that’s simple to put in place

Who it’s for: Padel centres, CrossFit boxes, boutique studios, centres with limited-capacity classes.

Advantage: A channel the customer already uses, with no need to download apps or create accounts.

The access control problem nobody solves well

One of the biggest weak spots of booking systems for sports centres is access control. Having the booking managed is only half the job. The other half is making sure that:

  1. Whoever comes in has booked and has a confirmed booking
  2. Whoever has booked hasn’t cancelled
  3. Nobody sneaks in without a booking when the class is full

Most solutions on the market manage bookings digitally, but access control is still manual: the receptionist looks for the name on a list, ticks it off on paper or asks for a membership card.

Agendio includes an access control module integrated with the booking system: when the member arrives, they can show a confirmation code received via WhatsApp, which the access point scans automatically. No human intervention, no queues.

Padel court bookings: a special case

Padel centres have somewhat different needs:

  • Bookings are for pairs or groups of four (several players per booking)
  • The schedule is very granular: 90- or 60-minute blocks
  • The courts are the limited resource, not total capacity
  • Payment by bank transfer or Bizum (Spain’s instant mobile payment service) is common

For padel courts, the combination of WhatsApp + a booking chatbot works especially well because:

  • The player sends the centre a WhatsApp message and the bot shows them availability in real time
  • They book and receive confirmation in the same chat
  • 24 hours before, they receive an automatic reminder
  • If they cancel, the court is automatically freed up for someone else to book

How to choose: questions to ask yourself

Before signing up for any software, answer these questions:

How many bookings/classes do you handle a day? If it’s fewer than 20-30, a simple, inexpensive solution is enough. If you go over 50 a day, you need something more robust.

Do your customers usually contact you via WhatsApp? If they already message you on WhatsApp to ask about availability, automating that channel makes immediate sense.

Do you have a no-show problem (bookings where nobody turns up)? In that case you need to take deposits and send automatic reminders.

Do you need physical access control? If you have turnstiles, a QR reader at the entrance or you simply want to know who has come in, that rules out quite a few options.

How much time does your team have to learn a new tool? Complex solutions work well in centres with dedicated staff. For a sole trader with 1-2 people, a simple solution can be up and running in days.

How to reduce no-shows at a sports centre

No-shows — bookings where nobody turns up — are the silent enemy of profitability at gyms and padel courts. A place that’s booked but not used is a place another member couldn’t take. These three levers reduce the problem without adding friction:

  • Automatic reminders 24 hours and 2 hours before. Most no-shows are people forgetting, not deliberately standing you up. A WhatsApp reminder with a one-tap option to cancel wins places back in time.
  • Easy cancellation that frees up the place instantly. If cancelling is a hassle, the member simply doesn’t turn up. If it’s a single message, the place goes back into the pool and someone else books it.
  • A deposit or a penalty for not turning up. At centres with high demand, charging a small refundable deposit or using a warning system drastically reduces no-shows.

A WhatsApp booking system covers the first two natively, because the reminder and the cancellation happen in the same chat the member is already in.

Conclusion

There’s no universal “best” booking software for gyms and sports centres. What there is, though, is the one best suited to your specific case.

If you have a large centre with hundreds of members and multiple instructors, you need an all-in-one management platform, even if it costs more. If you have a boutique studio, a box or an activity space with limited-capacity bookings, a more agile WhatsApp-based system may be the quickest and most efficient solution.
